Setup

Who installs signs?

Whoever currently sets up your permit boxes onsite can post the signs—it’s as easy as that. The signs themselves are the physical replacement of the old onsite plastic boxes and provide easy and quick access to all onsite documentation by way of a QR code. 

Signs will be shipped to the address provided when subscribing. In general, Digital Site Box-branded signs will be shipped within two business days of your subscription payment. Shipping for custom-branded signs varies based on approval timeframe of sign layout.

Where do I get the signs?

Do I need to get my IT department involved?

No! If IT isn’t involved in your onsite documentation process today, they won’t need to be involved with DSB. DSB is a simple online subscription that can be set up in minutes.

Access & Permissions

What is the difference between an Admin and a Manager?

An Admin has full access. They can upload, download, delete files, annotate plans, and add or manage users.  A Manager can upload and download files but cannot delete content or manage users; basically, a manager can contribute but cannot delete anything from the platform. 


If a user has not been granted additional permissions, they will only have view-only access to unlocked content. 

Can files be uploaded using the QR code, or is it view-only?

Yes, files can be uploaded using the QR code if the user has been invited to the platform and granted the correct permissions. Admin users can upload, download, and delete files. Managers can only upload and download. Users without permissions have view-only access to unlocked content. Verified users can also access all their projects directly by logging in through the DSB website. 

Do I always need to scan the QR code to access DSB?

No. If you are a verified user, you can log in directly through our website to access your company dashboard and all associated projects. The QR code is primarily designed for on-site contractors—it provides quick, limited access to a specific project’s plans and documents without needing full login credentials. But if you have a mobile phone, tablet, or computer, you can access your Digital Site Box anytime!

Can users annotate or highlight plans after scanning the QR code?

Yes. Admins and Managers can annotate or highlight plans regardless of whether they access them through a QR code or the web platform. View-only users do not have editing permissions.

Can different user groups have customized access levels?

Yes. Digital Site Box supports role-based access so you can tailor permissions for different user groups. For instance, project teams can be given full access, while subcontractors or inspectors can be limited to uploading specific reports or viewing designated files. You can also secure entire projects or individual documents with a PIN code for additional privacy. 

Is there a limit to how many users can be added?

No, currently, there is no limit to the number of users you can add to a DSB account. The platform is designed to scale with your team. 

Connectivity & Resilience

What if a QR code sign is damaged or destroyed?

Each DSB sign has a unique identifier, making replacement easy. If a sign is damaged, a new one can be issued and linked to the same project. The original code is deactivated, ensuring continued security and access without data loss (unlike old traditional paper-based systems) It’s important to remember that verified users don’t need the QR code to access the system. They can log in anytime through a web browser to view or manage their projects. This flexibility ensures uninterrupted access, even if the physical sign is lost or damaged. Gone are the days of damaged, stolen, or missing paperwork. Your required documents are protected and secure regardless of what happens to the sign. 

What happens if there’s no Internet or cell service on site?

Digital Site Box is designed for sites with reliable Internet or cell coverage, which is increasingly common across most construction zones. In areas where coverage is limited, clients often choose to deploy DSB only in accessible zones. While we are exploring offline access for future versions, current use assumes basic connectivity on site. And remember, you can access your DSB from anywhere!

Are digital permit boxes allowed by regulators?

Yes. Regulatory bodies are increasingly supportive of digital solutions like DSB. We have approvals in multiple states and continue to work closely with local municipalities to ensure seamless compliance. DSB meets on-site documentation requirements, such as those mandated by the EPA, and offers a secure, consistent alternative to paper systems. In vertical construction, where jurisdictional rules can vary, we are actively collaborating with industry groups to support broader adoption. 

How does DSB improve workflows compared to traditional paper systems?
